What Should Be Included in a Corporate Gift RFQ?

Build a clearer brief for product selection, branding, packaging, quality checks and international delivery—so suppliers can return comparable, practical quotations.

Giftideas sourcing consultant reviewing an international corporate gift RFQ

A useful corporate gift RFQ should state the programme objective, recipients, quantity, destination, required arrival date, target budget context, product and brand requirements, packaging, approvals, quality expectations and delivery model. It should also identify which details are fixed and where the supplier may recommend alternatives.

The short checklist

Ten details that make a quotation useful

  1. Programme objective and occasion
  2. Recipient group and estimated quantity
  3. Product category or performance needs
  4. Fixed requirements and acceptable alternatives
  5. Budget context and quotation basis
  6. Logo files, brand colours and decoration
  7. Packaging, inserts and presentation
  8. Destination, arrival date and delivery model
  9. Sample, approval and quality expectations
  10. Known documentation or market requirements

Not decided yet? Label the field “supplier recommendation requested” instead of leaving it unexplained.

For a client or executive presentation, see the custom gift-set route. For a conference or launch, include the event conditions described in events and campaigns.

Define the outcome before choosing products

Tell the supplier why the gifts are being ordered and what recipients should experience. An employee welcome kit, executive appreciation gift and conference giveaway can require different products even when the quantity and budget are similar.

Fixed

Requirements that cannot change

Destination, arrival date, approved logo, essential product features or organisational restrictions.

Preferred

The desired direction

Product style, material, colour, packaging feel and brand prominence where feasible.

Open

Supplier recommendation requested

Areas where alternatives can protect the outcome, timing or commercial target.

Variants

Quantity by version

Show splits by design, colour, office, destination or recipient group—not only the total.

Align quantity, budget and quotation basis

A total of 1,000 units is not the same production brief as four versions of 250 units. Quantity can affect materials, branding setup, custom packaging, sampling and delivery configuration. Giftideas custom programmes commonly begin from approximately 500 units, but the actual minimum depends on the product and production route.

State whether the budget is per recipient or total, which currency to quote in, and whether delivery and tax are included. Ask suppliers to separate product, branding, packaging, samples, requested inspection or testing, packing and delivery. Do not compare per-unit prices until grade, scope, quantity, delivery basis and exclusions are aligned.

Specify branding and packaging together

Attach the approved logo artwork and brand guide. Record colour references, required or prohibited placements, minimum sizes and message-copy approval. Ask the supplier to show decoration method, size and position before production.

Packaging affects presentation, protection, cost, minimum quantities and shipping volume. State whether you need standard packing, a branded sleeve, rigid box, fitted insert, message card, variable data or destination sorting. If sustainability matters, request evidence rather than an undefined “eco-friendly” option. See the evidence-first sustainable merchandise route.

Work backwards from the arrival date

Provide the destination country and postal area, delivery split, required arrival date, internal approval deadline and acceptable alternatives if timing is tight. Quotation, artwork, sampling, production, quality checks, packing and international delivery are separate stages. A quote request does not start the production clock.

What happens after the RFQ?

A useful quotation comes after the route is clear.

01Qualify quantity, destination and timing.
02Clarify missing fixed decisions.
03Recommend feasible product routes.
04Quote the aligned scope.
05Record approvals and milestones.

Make quality expectations inspectable

Avoid “ensure high quality”. Link expectations to an approved reference or measurable check: dimensions, materials, branding position and legibility, relevant functional checks, finish criteria, packaging completeness, counts and carton marks. Testing and inspection reduce risk; they do not replace a clear specification or guarantee that every possible issue will be detected.

Raise documentation questions before product and packaging approval. The buyer or importer remains responsible for confirming which requirements apply to the selected product and destination.

Weak request versus useful RFQ

Weak request More useful RFQ wording
“Send unique gift ideas.” “Recommend two useful onboarding products for 800 hybrid employees, suitable for daily use and understated branding.”
“Need by November.” “One bulk delivery to London by 6 November; internal artwork approval is available by 12 September.”
“Use our logo.” “Use the attached approved vector logo and colour references; show decoration size and placement before sampling.”
“Premium packaging.” “Rigid presentation box with fitted insert and message card; propose a standard-box alternative if construction affects timing.”
“Quality must be good.” “Confirm the approved reference, functional checks, branding tolerances, packaging checks and pre-dispatch reporting.”

Buyer questions

Corporate gift RFQ FAQ

What is the difference between an RFQ and a product brief?

A product brief defines the required outcome, specification and constraints. An RFQ asks suppliers to quote against that information. For a custom gift programme, the clearest document often combines both.

Should a corporate gift RFQ include a budget?

Yes, when the organisation can share one. State whether it is a per-recipient or total range and what it should include. If it is not fixed, request clearly separated options using the same quotation basis.

How many product options should an RFQ request?

Ask for a focused shortlist rather than an unlimited catalogue. Two or three relevant routes are easier to compare when the objective and constraints are clear.

When should compliance and documentation requirements be discussed?

Before product, artwork and packaging approval. Requirements depend on the product, intended user and destination.
